Application Procedures



Application Procedures for Producers and Artists. The process for producers and/or performing artist to participate in City of Athens Public Performance activities includes the following:

 

A. The producer/artist must complete a Performance Proposal Application Form for any performance project to be considered for authorization by the AMAC.  The purpose for this written application form is to provide the AMAC with information useful in evaluating the merits and the feasibility of the proposal.

This Application Form should include:

1. a brief narrative statement describing the event/performance being proposed (limit it to a short paragraph)        

2. a brief description of production requirements including load-in/set-up and strike and performance

3. a suggestion for performance venue/site(s)

4. suggested performance date(s) and time(s)

5. fees or other required financial support  

6. other specifics required.

B. The AMAC Programs and Facilities Manager will evaluate all Performance Proposal Applications to determine if this initial proposal will be 

1. Authorized.
2. Brought forward for further consideration. 
3. returned to the proposer for additional information.
4. Or rejected.

C.  A Performance Project Check Sheet must be completed by the Producer/Artist for any performance project to be given final authorization.

This written document will be completed with Programs and Facilities Manager to constitute all of the details and agreements including (but not limited to) details of performance, publicity,

ticket prices, fees, budgets and other financial matters as well as security and safety. The check sheet form will be provided by the Programs and Facilities Manager

D. When a performance project has been authorized for inclusion in the Public Performance Arts Program, the producer must agree to:

1. Sign and abide by the terms stated within the  Performance Project Check Sheet                                  
2. Execute, complete and deliver work at agreed upon date and time;
3. Maintain an effective working relationship with the Programs and Facilities Manager and the City staff;   
4. Advise AMAC immediately of any significant changes to the scope, content materials or design of the work after contract is signed (all changes must be        reviewed and approved prior to presentation)
5. Warrant that the work is the original product of the designated artist's creative efforts and does not infringe on any third party's copyrights or other intellectual property rights or that appropriate rights have been secured
6. Correct or allow correction of any safety issues not foreseen in the installation of the performance activity or that develop during the production process 
7. Submit written publicity materials to AMAC six weeks prior to the performance or complete a publicity check sheet  to facilitate promotion of the performance(s)
8. Take notice that Performance Projects and Special Occasions on City Property are not intended as a means of commercial sales for performance activity related items such as CD's, tapes, pictures, books, other promotional materials, etc) unless negotiated with the Programs and Facilities Manager as part of the Performance Project Check Sheet.                       
9. The AMAC may authorize artists, community groups or producers to set up their own exhibitions on City property. The City assumes no responsibility for providing materials or special assistance to artists or community groups in setting up such exhibitions.

In addition:

a. Walls, pillars or other structures may not be defaced in any way
b. Posters, display materials, etc may be mounted only in authorized areas;
c. Exhibitors must provide their own printed or typed identifying  or promotional materials
d. If there is a question regarding materials or exhibition layout, final approval rests with AMAC. 


E.  Public Safety 

No Public Performance Project will be scheduled or announced before the AMAC representative has evaluated it, ascertained that it poses no threat to public safety and authorized the performance. The installation, performance and strike of the performance project will be monitored as needed to ensure that no such risks are created.
